Overview: We are seeking a highly organized and proactive Executive Assistant / People Team Coordinator to join our team. You will work closely with two executive leaders, providing executive assistance, while also supporting HR team initiatives and operational tasks. This is a remote position, with a strong preference for candidates based in the Austin, TX area.
Key Responsibilities:
Executive Support (25-35% of the role):
- Provide high-level administrative support to two senior HR leaders, including:
- Calendar Management: Scheduling and managing complex calendars across multiple time zones, ensuring effective time management.
- Travel Coordination: Arranging travel logistics, including flights, accommodations, and itineraries.
- Invoices and Expense Processing: Handle and process invoices and expense reports in a timely and accurate manner.
- Board Preparation: Assisting with the preparation of presentations, reports, and materials for board meetings and leadership reviews.
- Team Meetings and Offsites: Coordinating logistics, agendas, and materials for HR team meetings and offsites.
People Team Support
- Vendor Management: Maintain vendor contracts and renewals, ensuring timely renewals and compliance with company policies.
- Workday Data Management (backup support): Update and maintain employee data in Workday with a high degree of accuracy and attention to detail.
- Employee Point of Contact: Act as the first point of contact for new hires and employees. Provide information and guidance or escalate inquiries as appropriate.
- New Hire Orientation & Onboarding: Conduct new hire orientation and create a seamless, exciting onboarding experience for all new hires.
- HR Initiatives & Training Support: Participate in and assist the greater People Team with HR initiatives and Learning & Development opportunities based on the needs of the business/teams.
- Collaboration: Collaborate on current and future people initiatives to drive employee engagement, culture, and success.
- Employee Relations: Work with the team on employee relations matters and provide support in resolving issues.
- Exit Process: Conduct exit interviews and manage the exiting process for all departing employees, ensuring a smooth transition and appropriate documentation.
- Ad-Hoc Support: Work on ad-hoc reports, research, organizational charts, presentations, audits, and other initiatives/projects as needed.
- Miscellaneous Duties: Perform any other duties and tasks related to the Department’s role and responsibilities that might be assigned.
Skills & Qualifications:
- Minimum of 3 years of experience in Human Resources, with a strong focus on employee relations, HR Business Partnering, HR operations with demonstrated or a proven ability to manage onboarding, performance management, HR compliance, etc. in a fast-paced environment
- Strong organizational and multitasking skills with the ability to prioritize effectively.
- Exceptional communication and interpersonal skills, with a customer service mindset.
- High proficiency in Microsoft Office, including PowerPoint, Excel, and Word.
- Experience working with HR systems such as Workday is a plus.
- Ability to work independently, exercise judgment, and maintain confidentiality.
- Strong attention to detail and commitment to accuracy.
- Experience with vendor management, process documentation, employee relations, and onboarding is a plus.

Base Salary: $81,000 - $108,000
