We have an exciting job opportunity for a motivated Executive Assistant with 1-2 years of experience to join our in-house PR and editorial team. As an Executive Assistant, you will report directly to the President. You will perform administrative duties, including confirming and scheduling all new business appointments, setting up meetings via phone, Zoom or TEAMS, and checking and replying to all President emails. You will prepare the President’s schedule daily, answer phones, and maintain his calendar,r including travel agendas and flights.
In addition, you will assist with editorial, scheduling interviews with the writing team and clients, editing copy and interviews to identify punctuation and grammatical errors, planning and managing the publication schedule including seasonal supplements, verifying facts, approving images, and finalizing copy layout. You will also be responsible for working with the PR team to write, edit, and submit news items regarding clients for daily newspapers.
To be a successful Executive Assistant, you will need to demonstrate an excellent command of the English language, with superb verbal and written communication skills. The ideal candidate must also have proven experience working in a fast-paced environment with strong communication and organization skills.
Editorial Support Responsibilities:
· Confirm and schedule all new business and client appointments, either in person or via Zoom/conference call
· Performing all administrative duties, such as answering the telephone, replying to emails, and setting up meetings.
· Work alongside the editor to plan, implement, and manage the publication schedule.
· Meeting with writers to discuss the editorial and publication process.
· Proofreading manuscripts to identify any grammatical and spelling errors.
· Researching facts and new features to maintain accuracy.
· Collaborating with various departments to ensure a smooth publication schedule.
Qualifications
- Bachelor's degree or equivalent experience
- Proficient in Microsoft Office suite
- Experience in managing multiple priorities, administrative coordination, and logistics
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills
- Strong written and verbal communication skills
